In short
Sending an enquiry does not reserve an appointment. A session is confirmed only when Hajra Khan Wellbeing has agreed the date and time with you. Please provide at least 48 hours' notice if you need to cancel or reschedule an appointment. Appointments cancelled with less than 48 hours' notice will be charged at the full session fee.
01
Using our services
These terms apply when you enquire about, book or attend a service
provided by Hajra Khan Wellbeing. By confirming an appointment, you
agree to these terms and to any relevant consent or client forms
provided before your session.
Hajra Khan Wellbeing currently provides professional hypnotherapy
and wellbeing support to adults aged 18 and over. Services may be
delivered online and, where specifically agreed, in person.
Not an emergency service
Hajra Khan Wellbeing does not provide crisis or emergency support.
If you or another person is in immediate danger, contact the
emergency services in your location. In the UK, call 999 in an
emergency or NHS 111 for urgent, non-emergency health advice.
02
Enquiries and appointment confirmation
An enquiry is a request to discuss a service. It is not a confirmed
appointment and does not reserve a date or time.
An appointment becomes confirmed only after Hajra Khan Wellbeing
has accepted the booking and communicated the agreed date, time,
format and any applicable fee to you.
- Please provide accurate contact information.
- Check confirmation messages and tell us promptly if anything is incorrect.
- Do not send detailed or urgent medical information through the public enquiry form.
- Appointment availability is not guaranteed until confirmation is issued.
03
Suitability and professional judgement
Hypnotherapy is not suitable for every person, concern or
circumstance. An introductory discussion or initial assessment may
be required before treatment begins.
Hajra Khan Wellbeing may decline or postpone a service where it is
not considered appropriate, safe or within the current scope of
practice. Where possible, this will be explained sensitively and
alternative sources of support may be suggested.
Medical care
Hypnotherapy and wellbeing services do not replace medical
diagnosis, treatment or advice. Continue to follow advice given by
your GP, consultant or other qualified healthcare professional.
Do not stop or change prescribed medication without consulting the
appropriate prescriber.
04
Fees and payments
Fees will be discussed and agreed during your initial consultation
before any paid appointment is confirmed. Unless otherwise agreed,
payment may be required in advance or by the date stated in the
booking confirmation.
Online card payments may be introduced in the future and, when
available, will be processed by a specialist payment provider such
as Stripe. Hajra Khan Wellbeing will not store complete card
numbers or security codes.
If a payment is taken incorrectly or a service cannot be provided,
please contact Hajra Khan Wellbeing so the matter can be reviewed
promptly.
05
Cancellation and rescheduling policy
We understand that plans can sometimes change. To help ensure appointments remain available for all clients, we kindly ask that you provide at least 48 hours' notice if you need to cancel or reschedule a consultation or therapy session.
48 hours or more
Appointments cancelled or rearranged with at least 48 hours'
notice will not incur a cancellation charge.
Less than 48 hours
Appointments cancelled or rearranged with less than 48 hours'
notice will be charged at the full session fee.
Exceptional circumstances
We understand that emergencies can occasionally arise.
Exceptional circumstances may be considered at Hajra Khan
Wellbeing's discretion.
Cancellation by Hajra
If Hajra Khan Wellbeing needs to cancel an appointment,
you will be offered an alternative appointment or a full
refund of any payment already made for that session.
06
Late arrivals and missed appointments
Please be ready at the agreed time. If you arrive or join late, the
session may still need to finish at the original end time so that
other appointments are not affected.
If you do not attend and have not provided notice, the session may
be treated as a missed appointment. A reasonable charge may apply
where time was reserved and could not be reallocated.
Repeated missed appointments or late cancellations may lead to
future bookings being declined or payment being requested in
advance.
07
Online sessions
For an online appointment, you are responsible for having a
suitable device, a stable internet connection and a private,
reasonably quiet location where you feel safe and will not be
interrupted.
- Do not attend while driving or operating machinery.
- Keep your device charged and test audio and video in advance.
- Tell Hajra if another person is present or able to hear the session.
- Do not record a session without prior written agreement.
If a significant technical problem prevents the session from
continuing, Hajra will discuss whether the remaining time can be
resumed, rearranged or otherwise dealt with fairly.
08
Confidentiality and privacy
Information shared during enquiries and sessions will be treated
respectfully and confidentially, within professional, safeguarding
and legal limits.
Confidentiality may need to be limited where disclosure is required
by law, where there is a serious and immediate risk of harm, or
where safeguarding responsibilities apply. Where appropriate and
safe, this will be discussed with you.
More information about the collection, use, sharing and retention
of personal information is available in the
Privacy Policy.
09
Your responsibilities
To support a safe and effective service, you agree to:
- provide information that is accurate to the best of your knowledge;
- tell Hajra about relevant health, medication or safeguarding matters when requested;
- attend sessions free from the influence of alcohol or non-prescribed drugs;
- communicate respectfully and not behave in a threatening, abusive or discriminatory way;
- ask questions where any aspect of the service or these terms is unclear; and
- seek appropriate medical or emergency assistance when required.
10
Outcomes, website information and liability
Hajra Khan Wellbeing will provide services with reasonable care and
skill. However, each person’s circumstances and response are
different, so no particular outcome or result can be guaranteed.
Website content is provided for general information and does not
constitute individual medical, psychological or legal advice.
Nothing in these terms excludes or limits any responsibility that
cannot legally be excluded, including responsibility for death or
personal injury caused by negligence, fraud, or your statutory
consumer rights.
11
Ending or pausing services
You may decide to stop using the service at any time, subject to the
cancellation arrangements for appointments already confirmed.
Hajra Khan Wellbeing may pause or end services where treatment is no
longer suitable, professional boundaries are not respected,
essential information has been withheld, fees remain unpaid, or
continuing would be unsafe or outside the scope of practice.
Where reasonably possible, the decision and any appropriate next
steps will be explained.
12
Changes to these terms
These terms may be updated to reflect changes in services,
technology, professional requirements or the law. The latest
version will be published on this page with an updated date.
The terms in force when an appointment is confirmed will normally
apply to that appointment, unless a change is required by law or is
agreed with you.
